Copy workflow rules

Recreating complex workflow transitions with multiple rules (conditions, validators, and post-functions) is time-consuming and error-prone.

With Admin Toolbox for Jira Cloud, you can copy existing workflow rules from any workflow and paste it into your target workflow in just a few clicks.

Currently you can only copy & paste elements inside a rule “category” per operation - meaning per operation you can only select either conditions (restrict transition), validators (validate details), or post functions (perform actions) to be copied - not entire transitions or variations (e.g. 2 validators and three post functions).

📋 How it works

Open Jira and go to Apps → Admin Toolbox for Jira → Copy workflow rules

Select the source

    • Optional: Filter workflows by space

    • Workflow: The workflow containing the transition you wish to duplicate.

    • Transition: The specific transition to copy from.

Select the workflow rules you want to copy

  • Choose which workflow rule(s) you want to copy (only per category) - you can select multiple or “all”:

    • Restrict transition (conditions)

    • Validate details (validators)

    • Perform actions (post functions)

Admin Toolbox supports both Jira native workflow rules and workflow rules provided by 3rd party apps (such as JSU, JMWE, Scriptrunner)

Optional: Preview a rule

A rule preview is available for certain workflow rules(including 3rd party apps). The preview will always be available for workflow rules provided by our app Jira Workflow Toolbox

Select the target

  • Optional: Filter workflows by space

    • Workflow: The workflow where the new transition will be created (active or inactive).

    • Transition: The specific transition you want to copy the rules to.

    • Optional: Modify the sequence : Insert the rule(s) to the where you want them to be executed. warning2 Actions will not necessarily executed in the sequence you specify. This is a known Jira Cloud limitation. By default, the rule will be appended at the end of the sequence.

Review

  • Verify the change before it is applied to the Jira workflow.

  • Click Copy rule(s).

⚙️ Requirements & permissions

  • Admin Access: You must be a Jira Administrator to copy workflow rules between workflows.
